Acadia POS Driver App Privacy Policy

This Privacy Policy explains how Acadia POS (“Acadia POS,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use the Acadia POS Driver mobile application (the “App”) and related services (together, the “Services”).

1) Who this policy applies to

This App is intended for drivers and staff who are working with a business (a “Merchant”) that uses Acadia POS services (for example, a store or restaurant dispatching drivers). If you use the App as part of your work, your Merchant may also have its own policies governing workforce management and dispatch.

2) Information we collect

A. Information you provide

  • Account and profile information (such as name, email, phone number, driver identifier, Merchant/organization identifier, login credentials or authentication tokens).
  • Support and communications (messages you send to support, feedback, and attachments you choose to provide).

B. Location information (GPS)

The App may access and process device location data (which may include precise location derived from GPS and other signals). We collect location in order to provide core driver/dispatch features.

Depending on your device settings and permissions:

  • Foreground location (“While in use”): when the App is open/active.
  • Background location (“Allow all the time”) (only if you grant it): when the App is not visible, to enable continuous driver tracking during an active shift/delivery.

What we do with location: We use location to show your location and trip status to the Merchant you’re assigned to, support routing/ETAs, dispatch workflows, delivery verification, and safety/support features.

C. Device and usage information

  • Device information (device model, OS version, app version, language, time zone).
  • Network and technical data (IP address, approximate region from IP, logs).
  • Diagnostics (crash reports, performance data, and troubleshooting logs).

D. Operational / work-related data

  • Shift/delivery status (timestamps, assigned orders/trips, check-in/check-out events, completion statuses).
  • Approximate activity signals tied to the delivery workflow (for example, whether a delivery is in progress). We do not collect unrelated personal content from your device.

3) How we use information

We use the information above to:

  • Provide the Services (authentication, dispatch workflows, showing your location to the Merchant, ETAs, trip tracking, delivery status, and related in-app features).
  • Maintain, secure, and improve the Services (bug fixes, analytics in aggregate, service reliability, fraud prevention, abuse detection).
  • Customer support (responding to requests and troubleshooting).
  • Compliance and legal obligations (where required by law, regulation, or valid legal process).

4) How we share information

We share information only as described below:

A. With your Merchant (the business you work with)

The App is designed so that your Merchant can view driver operational information, including real-time or recent location, delivery/shift status, timestamps, and related workflow data for dispatch and operations.

B. With service providers (processors)

We may share information with vendors that help us run the Services (for example, hosting, databases, monitoring, customer support tools). They may only process data on our instructions and for the purposes described in this policy.

C. For legal, safety, and security reasons

We may disclose information if we believe it is reasonably necessary to:

  • comply with law or legal process,
  • protect the rights, safety, and security of Acadia POS, Merchants, drivers, or the public,
  • investigate fraud or security issues.

D. Business transfers

If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information or location data.

5) Your choices and controls

  • Location permissions: You can enable/disable location access at any time via your device settings. If you disable location permissions, core dispatch and tracking features may not work.
  • Background location: If the App requests background location, you can choose to allow it or restrict it to “While in use.” Restricting background location may reduce real-time tracking when the App is not open.
  • Access and correction: You may be able to update certain account details in the App or through your Merchant’s administrator.
  • Support requests: You can contact us using the information in Section 12 to request access, correction, or deletion as applicable.

6) Data retention and deletion

We retain personal data only as long as necessary to:

  • provide the Services and support the Merchant relationship,
  • maintain security and prevent fraud,
  • comply with legal obligations.

Location data: We retain precise location and trip logs for a limited period appropriate for dispatch operations, support, auditing, and dispute resolution, then delete or de-identify it unless longer retention is required by the Merchant’s configuration or law.

You may request deletion of your account data (see Section 7), subject to legitimate retention needs (for example, security, fraud prevention, or legal compliance). Google Play also expects account deletion capability if your app supports in-app account creation.

7) Account deletion

If you have an App account, you can request deletion by:

  • emailing us at [support@acadiapos.com], or
  • contacting your Merchant’s administrator to remove your driver account.

When we delete an account, we also delete or de-identify associated personal data unless we must retain certain data for legitimate purposes (security, fraud prevention, legal compliance).

8) Security

We use reasonable administrative, technical, and physical safeguards designed to protect information, including encryption in transit (TLS) and access controls. No method of transmission or storage is 100% secure.

9) International transfers

If you use the App outside the United States, your information may be processed in the United States or other countries where we or our service providers operate.

10) Children’s privacy

The App is not directed to children under 13 and is intended for business/employee use. We do not knowingly collect personal information from children.

11) Changes to this policy

We may update this policy from time to time. We will update the “Last updated” date and, if changes are material, provide additional notice through the App or other appropriate means.
