How to create gift cards on the backend manage.acadiapos.com & frontend (Point of Sale Terminal)
1. On the sidebar click “Items”

2. Click “Gift Cards” on the top right

3. Click “New Item”

5. Click “Assign” if you want to assign to a customer

6. Enter customer name and then click “Save Changes”

7. Click on the calendar to view the gift card history.

8. Click “Ok” when finished viewing

9. Click the edit button to view/edit the status of this giftcard

10. View/Edit , when finished click “Save Changes”

11. Click “Items” To begin the process of creating a “Gift Card” on the backend. (manage.acadiapos.com)

12. Click “New Item”

13. Step 1 Edit the name to say “Gift Cards” or “Gift Card”
Step 2 Choose a category if necessary
Step 3 Custom Price” to “Enabled”
Step 4 Click “Save”

14. Go to the sidebar and Click “Settings”
Next step is to View/Edit the gift Card settings

15. Click “Payment methods”

16. Go to the right side of the screen and find “Gift Cards” and click on the blue pen to the right. (See next slide)

17. Click the blue pen

18. Enable Method Name, Method Status, Show in Open State, Magnetic Read Button, Create Gift Card in POS, Letters in Gift Card NO (Numbers)
Choose “Add Carddog buttons”
Now click “Save Changes”

Tip #1
The Gift Card Number is the unique numerical code that serves as the card’s identifier.
You have the flexibility to either input a new, unique string of digits or utilize the pre-existing number found on a physical card, should you be working with one.
If a customer expresses a preference for an alphanumeric code (a combination of letters and numbers, such as “HOLIDAY2025”):
- Navigate to Settings.
- Select Payment Methods.
- Choose Gift Cards.
- Toggle the “Letters in Gift Card No” setting to the on position. This action will permit the use of alphanumeric codes.
Tip #2
Gift Card Value
Indicate the monetary value to be loaded onto the card. For instance, input 50 to set the balance at [[$\$50$]]. Do not include the dollar sign ([[$\$)$]]; simply enter the numerical amount.
Gift Card Status
To activate the card and make it immediately usable by the customer, ensure the status is set to Enabled.
Expiration Date (Optional)
If the gift card is subject to an expiration date, record it in this field. If the card never expires, you may leave this entry blank.
Assign Customer (Optional)
You have the option to link this gift card to a particular customer by choosing their name from your existing customer registry.
If this field is left empty, the card remains unassigned, allowing it to be used by any individual who possesses it.
Note: A gift card can only ever be assigned to one customer. Once assigned, that link is permanent and cannot be changed or transferred to another person.
19. Everything is setup to fully use gift cards.
Go back to the frontend (MobilePOS/AcadiaPos)
Now select the “Gift Cards” Product / Item

20. Enter the gift cards name and value

21. Now click “Pay” to checkout

22. Pay by Cash, Credit Card / Debit Card or any payment method you choose
If its a credit card or debit card, click start transaction
If you follow these steps, you will have successfully checked out a customer with a gift card.

23. Check out a customer using a gift card as a payment method.
Go to “All Products” and search “gift card”
or go to the category where you have your gift card items and select it.

24. Select all the products you want to add.

25. Click “Pay” when finished

26. Go down to your “Gift Cards” payment method
Either type in the gift card number manually, or you can swipe it or scan it
Click “Check Balance” to check the customers balance

27. To collect the amount due for the payment,
Click “Collect” and the gift card balance will cover the purchase if the balance is sufficient, if balance is insufficient, finish off the payment with Cash, Credit, Debit ETC.

28. You are now all finished paying for products with a gift card
